1. Overview and controller
Youth Sports Clarity ("YSC," "we," "us," or "our") is responsible for personal information covered by this Policy unless a specific notice says otherwise. This Policy applies to visitors, customers, subscribers, account holders, parents, guardians, and adult users, including information about a youth athlete or other minor that an authorized adult chooses to submit. It does not govern third-party websites, app stores, or services with their own policies.
2. Information we collect
Information you provide
- Identifiers and account data, including name, display name, email, authentication data, user ID, and communication preferences.
- Commercial information, including purchases, subscriptions, entitlements, transaction history, billing status, and support records.
- User Content, including notes, timelines, incident summaries, documentation entries, generated drafts, reports, form responses, files, screenshots, photos, PDFs, emails, and other records you choose to save.
- Communications, survey responses, feedback, privacy requests, course progress, saved items, settings, and preferences.
Information collected automatically
- IP address, browser, operating system, device type, language, approximate location derived from IP, and cookie or device identifiers.
- Pages or screens viewed, features used, referring URLs, dates and times, session events, clicks, crashes, diagnostics, performance, and security logs.
- Data collected through cookies, pixels, tags, local storage, software development kits, and analytics tools.
- Mobile-app data and device permissions you choose to enable, where applicable.
Information from others
We may receive transaction, subscription, entitlement, fraud-prevention, and account-match information from payment providers, app stores, course platforms, referral partners, and services you authorize.
3. Sensitive and child-related information
User Content may contain information sensitive in context, including child-related information, allegations or concerns, family circumstances, emotional or behavioral observations, health-related details, communications, and private records. YSC does not require most of this information. Do not submit government identifiers, financial credentials, complete medical records, or other highly sensitive information unless a feature expressly requires it.
We do not use sensitive User Content to infer characteristics for advertising. We do not sell private reports, uploads, incident notes, or child-related User Content.
4. How we use information
- provide, authenticate, personalize, operate, and maintain the Services;
- manage accounts, purchases, subscriptions, entitlements, saved work, uploads, exports, and course progress;
- process and improve requested drafts, summaries, reports, worksheets, and templates;
- respond to support, privacy, account, billing, and transaction requests;
- monitor performance, analyze use, improve features, and fix errors;
- protect security, investigate abuse, prevent fraud, and enforce agreements;
- send transactional, account, educational, product, and permitted marketing communications; and
- comply with law and protect rights, safety, property, users, minors, and the Services.
We do not use User Content to make official findings, investigate abuse, determine legal rights, or provide medical, legal, mental-health, or crisis services.
5. AI processing
When you choose an AI-assisted feature, relevant prompts and User Content may be sent to an AI provider to generate the requested result. YSC currently uses OpenAI through a server-side service for certain drafting features. Do not include unnecessary names or sensitive details. Providers process data on our behalf under applicable service terms and controls.
We may review limited technical metadata and outputs to troubleshoot abuse, safety, or product issues. Support personnel should access private workspace content only when reasonably needed to respond to a request, investigate a security or legal issue, or maintain the Service, subject to access controls.
6. Cookies, analytics, and advertising
We use necessary technologies for authentication, security, preferences, shopping, and core functionality. We may use Google Tag Manager and services deployed through it to measure traffic, events, conversions, campaign performance, and product use. These technologies may collect identifiers, device data, approximate location, and online activity.
Where required, we request consent for non-essential technologies. Use available cookie controls, browser settings, device settings, or legally recognized opt-out preference signals such as Global Privacy Control. Because no uniform standard governs every browser "Do Not Track" signal, we do not respond to other DNT signals unless required by law.
7. How we disclose information
We may disclose information to service providers supporting hosting, authentication, database and file storage, cloud infrastructure, payments, subscriptions, email, support, security, analytics, content delivery, and AI processing; payment processors, app stores, and commerce platforms; professional advisers; legal authorities where required or reasonably necessary; a buyer or successor in a business transaction; and parties you direct or consent to.
Core web-app providers may include Supabase for authentication, database, and private storage; Netlify for hosting and server functions; SureCart and its payment partners for commerce and entitlements; OpenAI for selected AI-assisted features; and Google services for tag management and analytics. Providers and configurations may change.
8. Sale, sharing, and targeted advertising
We do not sell private User Content or child-related documentation for money. Analytics or advertising technologies may disclose browsing or interaction data in a way some state laws define as "sale," "sharing," or "targeted advertising." Where applicable, opt out through available controls, a recognized preference signal, or by contacting us. We do not knowingly sell or share for cross-context behavioral advertising the personal information of anyone under 16.
9. Data retention
We keep information only as long as reasonably necessary to provide accounts and Services, maintain security, resolve disputes, enforce agreements, and meet legal, tax, accounting, and compliance duties. Account and workspace content generally remains while an account is active and until deleted, subject to backups and legal needs. Transaction and tax records may be retained for required periods. Security and diagnostic logs are retained for periods appropriate to their purpose. Backups may retain deleted data for a reasonable period before rotation.
10. Security
We use reasonable administrative, technical, and organizational safeguards, including access controls, private storage configurations, transport encryption, and server-side handling of secret credentials where appropriate. No system, database, device, email, or internet transmission is completely secure. Protect your credentials, use a unique password, secure exports, and report suspected unauthorized access promptly.
11. Account and data deletion
You may delete individual records through available features. Request access, export, correction, or deletion through the in-app privacy or settings path, if available, or email support@youthsportsclarity.com. We may verify identity and authority. We may retain information required for transactions, security, fraud prevention, legal compliance, disputes, or legal rights. Deleting an account does not necessarily cancel a subscription; cancel recurring billing separately.
12. Children’s privacy
The Services are directed to adults, not children under 13, and minors may not independently create accounts or submit personal information. We do not knowingly collect personal information directly from a child under 13 without legally sufficient parental consent. If we learn that occurred, we will take reasonable steps to delete it.
A parent or legal guardian may submit limited information about their own child when reasonably necessary. The adult represents that they have authority and a lawful basis. Do not submit identifying information about other children or families without a lawful, necessary reason.
13. Your choices
- Review or update available account and preference fields.
- Unsubscribe from marketing using the link in a message; account, transaction, legal, and service messages may continue.
- Use cookie controls, browser or device settings, and applicable opt-out preference signals.
- Review or revoke mobile permissions in device settings.
- Use available export/delete tools or contact support for workspace data.
14. U.S. state privacy rights
Depending on where you live and whether a law applies to YSC, you may have rights to know or access, correct, delete, obtain a portable copy, opt out of sale, sharing, targeted advertising, or certain profiling, limit certain sensitive-data uses, withdraw consent, appeal a denial, and avoid discriminatory treatment.
Email support@youthsportsclarity.com with the subject "Privacy Request" or mail the address below. Describe the request and account or email involved. We will reasonably verify identity. Authorized agents may submit requests where permitted, subject to proof and verification. For an applicable appeal, reply with the subject "Privacy Appeal."
15. California notice
California residents may have rights under the California Consumer Privacy Act, as amended, if and when it applies. In the preceding 12 months YSC may have collected identifiers, customer-record information, commercial information, internet activity, approximate geolocation, audio/electronic/visual information, voluntarily submitted professional information, inferences based on preferences, and sensitive information in credentials or voluntarily submitted User Content.
We collect these categories from you, your device, providers, commerce partners, and parties you authorize; use them for Section 4 purposes; disclose them to Section 7 recipients; and retain them under Section 9. We do not use or disclose sensitive personal information for purposes requiring a right to limit unless we provide that right. We do not offer financial incentives unless separately disclosed.
16. Nevada and other states
Nevada residents may submit a verified request to opt out of covered sales. Residents of Colorado and other states with applicable privacy laws may exercise the rights above, including applicable appeal rights. We honor valid requests to the extent the law applies.
17. International users
YSC is operated from the United States. Information may be processed in the United States and other locations where providers operate, which may have different laws. Where required, we use an appropriate transfer mechanism.
18. Third-party services
Third-party websites, app stores, payment pages, embedded media, and linked resources collect and use information under their own policies. Review those policies before providing information.
19. Changes to this Policy
We may update this Policy as practices, Services, providers, or laws change. We will post the revised version and update the date. We provide additional notice or request consent where required.
